Many districts are faced with challenges when trying to manage their Medicaid billing programs. These challenges include under staffing, low resources and over-worked staff. The result is that all claimable services are not being logged and most of the time the districts are not even aware of this until the end of the school year, when they realize their reimbursement revenue is low and they are struggling to come up with money to meet their budgetary demands. have tips to make sure this never happens again.
TIP 1
Decide as a district how you want to oversee the providers logging services and develop a plan that they must adhere to including a timeframe with guidelines. Discuss with your staff the district expectations and the importance of timely logging of services.

You absolutely need to assign your SPED Director, or the Medicaid clerk or coordinator, to review the monthly billing summary and plan to contact those staff who are under reporting their services. Remember accountability is key to a successful Medicaid program.

Creating a monthly incentive plan for those providers who report their services on time can help make claiming a little more fun and help to maximize those services that are captured. One incentive idea is to give the top five providers special privileges for that month. Be creative.
Creative planning and incentives can boost the morale of your staff when they realize the importance to the district and that they are valued as key players to the overall success of the program. Everyone wants to know that what they do matters. Keep this in mind as the more a district is in tune with their staff the more they will follow through, the more the district will benefit = SUCCESS in maximizing your Medicaid reimbursement revenue.
